Three things to decide before booking.
A roster that can run the day
Share headcount by office, preferred date, participant availability and a coordinator. Use an internal identifier for filenames; sensitive employee information does not belong in the public inquiry.
The finished placement
Send a screenshot of the team-page layout, an approved reference and whether you need square, circular or horizontal crops. Decide if glasses, jackets and backgrounds should vary or stay consistent.
The approval route
Choose one company approver and explain whether employees select their own image. Include procurement, purchase-order and certificate-of-insurance requirements early so they can be checked before committing.

Example: a ten-person directory refresh
Approve one sample look before the roster begins. Check the crop in the actual website frame, including a circular avatar if used.
Schedule ten individual appointments with room for arrivals, glasses adjustments and selections. Setup, breaks and pack-down sit outside the portrait-slot calculation.
Keep a short exception list for absent people and additional leadership requests. Decide on a later visit rather than silently adding work to a full schedule.
Match the agreed selects to the roster and have the designated approver check names and crops before distribution. This is an illustrative workflow, not a throughput or delivery guarantee.

Can you match our existing employee photos?
Send several originals and the intended layout. Background, lens perspective, lighting and crop all affect consistency. Matching should be assessed before it is promised.
Can a person who misses their slot come later?
Share the exception with the coordinator. A spare slot may help, but another visit or additional coverage must be agreed; it is not automatically included.
What should procurement receive?
A clear scope, usage terms, image count, delivery milestones, named approver and any required vendor documents. Tell us your onboarding requirements in the inquiry.
Usage and booking
Consumer packages include personal use, while headshot and model packages include professional self-promotion. Business packages can include website, organic social, recruiting, sales, press, and internal use. Paid advertising, outdoor campaigns, resale, and third-party use are licensed separately.
The optional $100 priority deposit after intake is credited toward the session but does not reserve a date by itself. A date is secured only after availability, scope, the booking agreement, and the required booking retainer are confirmed in writing.
