Artwork Photography Checklist for Portfolios and Submissions

An artwork photograph is a translation. The viewer cannot move closer, change position or see how the surface behaves in the room. Your documentation needs to provide enough information for them to understand the work without substituting a different visual effect for it.

For a portfolio or open call, start with the recipient's requirements and an inventory of the actual objects. A painting behind glass, a matte work on paper and a reflective sculpture may all need different treatment. “Ten pieces” is only the beginning of a photography brief.

Write the inventory before the shot list

Give every work a stable identifier. Include its title, date, medium, dimensions and the views you need. Keep that information beside the images rather than relying on memory during export or submission.

Flag anything that changes the setup: glazing, metallic surfaces, deep texture, fragile attachments, oversized dimensions or an installation that cannot be moved. These details help a photographer assess the work before offering a quote.

For a commissioned session, share this list with the artwork documentation photographer inquiry. A complete inventory is more useful than a vague request to “make the work look professional.”

Separate three kinds of image

An overall view should explain the complete work. A detail should reveal something that cannot be understood well at the overall scale. An installation view can show how the work occupies space or relates to other elements.

Not every submission needs all three. Sending several detail photographs can be less useful than a clear overall image if the reviewer cannot understand the piece as a whole. Follow the requested view count rather than trying to include every appealing frame.

An atmospheric studio portrait is another kind of photograph altogether. It can be valuable for an artist biography, but it is not a substitute for documentation. If you need both, define the portrait and object work as separate parts of the brief.

Test the most difficult surface early

Choose a representative piece that exposes the challenge. Reflections, surface relief and very dark or light areas should be considered before a full series is captured. A photographer may need to adjust the approach for different materials rather than repeat one setup unchanged.

Do not remove glass, frames or attachments casually. Handling decisions belong with the artist or another authorized person who understands the work. Discuss transport, installation and insurance explicitly; none should be assumed to come with a standard photography appointment.

If exact print reproduction is the goal, say so at the start. Website documentation and a color-managed reproduction workflow have different requirements. Ask what references, proofing and output conditions will be used. Do not accept a universal promise that every screen will display the object identically.

Keep perspective and crop decisions deliberate

Look at the entire work before choosing a crop. Check whether edges are visible where they should be and whether the presentation changes the apparent proportions. A dramatic angle may be interesting but unsuitable when the recipient needs a straightforward record.

For three-dimensional work, identify the views that explain form. A second angle should add information, not merely repeat the first. If scale is important, agree on an appropriate way to show it that fits the submission instructions.

Do not apply a fashionable filter simply to make the set feel cohesive. The cohesion should come from clear presentation and organized delivery. The aim is to communicate your choices in the work, not to replace them with a photographer's color effect.

Prepare the actual upload requirements

Save the current instructions for format, pixel dimensions, maximum file size, image count and naming. Note whether captions belong in a form, an image list or the file itself. These details vary, so check the specific application rather than assuming one export fits every opportunity.

Maintain a master set and create destination-specific versions. A compressed application file may not be suitable for a later print request. Label versions clearly so an old small export does not become the accidental source for every future use.

The AIA and ASMP commissioning guide concerns architectural assignments, but its basic commissioning advice is relevant here: define the assignment, deliverables and intended uses before requesting an estimate. It is not an artwork color-reproduction specification.

Review the submission as a viewer

Open the exported files in their intended order. Confirm that the inventory identifiers match, the overall views are present and the details are understandable. Check for accidental duplicates, missing captions and a file that failed to open.

Then review the work at the scale the recipient is likely to see. A detail that is meaningful on a large monitor may become unclear in a thumbnail. If a view needs an explanation, provide the caption in the permitted place rather than placing unauthorized text over the photograph.

Choose the right kind of quote

Ask to see examples relevant to your medium. Explain whether the output is a website, a grant application, a catalog or a reproduction. Confirm the handling arrangements and who approves a representative image before the full job proceeds.

General product photography and personal branding portraits solve adjacent needs, but neither should be mistaken for a specialist documentation promise. A precise brief gives the photographer a fair chance to assess fit—and gives you a clearer basis for deciding whether the service is right for the work.
