Give attendees a reason to leave with something more useful than a tote bag. A headshot station needs a consistent portrait setup and a practical plan for arrivals, names, image selection and delivery.

A useful portrait. A queue that keeps moving.

For conference organizers, associations and company events that want a planned portrait activity. This is a photographer-led headshot setup, not an automated entertainment booth.

Event coverage follows the room; a headshot station stays in one controlled place. If you need both at the same time, scope separate coverage and staffing. Do not assume the station photographer can also document the main stage.

Test the complete cycle

Time arrival, identification, portrait, selection and exit in a rehearsal. The shutter time alone does not describe capacity.

Keep the line understandable

Use clear signposting and a coordinator when needed. Appointment slots can help, but must fit the conference schedule.

Close the delivery loop

Agree on file matching, corrections and who handles delivery questions. Sponsor marketing permission should be distinct from receiving a photograph.

Capacity planning without a sales promise

For illustration, a five-minute total cycle permits at most 12 people per hour before breaks, resets or late arrivals. That is arithmetic, not our promised service rate. Test your chosen workflow and allow slack before deciding how many stations, staff or hours the event needs.

Three things that help us plan.

Expected participation
Share total attendance and an estimate of how many people may want a portrait. Identify breaks and peaks instead of assuming a steady line all day.
Venue and floor plan
Confirm footprint, power, load-in, background, queue space and access rules with the venue. Avoid obstructing exits or relying on an unapproved corridor.
Selection and delivery
Decide whether attendees choose a frame, receive proofs or get a later select. Agree on naming and private delivery before collecting any contact details.

Scope before surprises.

Custom event-station quote. Attendee count, open hours, staffing, selection and delivery workflow determine cost. Standard employee headshot rates are not a throughput guarantee.

Ask about venue certificates, loading windows, elevator reservations and internet access early. Check whether a backdrop or sponsor sign is needed and who supplies it. Same-day retouching, instant delivery, badge scanning and CRM integration are separate requests, not default inclusions.

How many people can you photograph?

We estimate capacity after defining the full participant workflow and available hours. Image selection and retouching choices affect throughput.

Is instant delivery included?

No default promise. Discuss the exact system, connectivity, file quality and support required before agreeing to it.

Can a sponsor use the portraits in ads?

Receiving a portrait does not automatically authorize sponsor advertising. Separate permissions and licensing need to be resolved.

The optional $100 priority deposit after intake is credited toward the session but does not reserve a date by itself. A date is secured only after availability, scope, the booking agreement, and the required booking retainer are confirmed in writing.

Consumer packages include personal use, while headshot and model packages include professional self-promotion. Business packages can include website, organic social, recruiting, sales, press, and internal use. Paid advertising, outdoor campaigns, resale, and third-party use are licensed separately.
